Overview - Projects and Assignments

In Dovico Planning & Timesheet, Assignments are the unique links between projects, tasks, and employees that define how a project is organized for time entry. Assignments establish who works on what and are required before employees can begin to track their time on projects and tasks.

 

Simplified assignment structure

 

Before employees can begin tracking time, a few steps are required to be completed. These are creating the projects, tasks, employees and then creating assignments.

 

 

Projects, tasks and their employee assignments can be created in 2 distinct areas within the software. They can be created from (1) the Project Planning tool or they can be created using (2) the Project Assignments view. Where you choose to create your project depends on the type of project and its need to be accurately scheduled.

 

You create a project using the Project Assignments view if the project does not need a schedule or a detailed plan. These are normally administrative tasks that are 'Support' or 'Administrative' type work, where it is important to keep track of time and costs, but not necessary to schedule and plan the work. It's important to note that if the need arises, you can always convert a project created in the Project Assignments view into a Project Planning tool project.

 

You create a project using the Project Planning tool if you have to accurately plan a project's schedule based on available resources, or to determine if you have the resources available to undertake a project, and to make it profitable. You also use the Project Planning tool for projects that require accurate tracking against budgeted time and costs while the project is in progress.

  • It is administrative-type work where the employees perform their tasks as the need arises

    • Examples: administration, customer support, accounting, production work

  • The project does not need to have its work scheduled by day or in a defined timeline

  • The work does not have an end date or set number of hours

  • The work is not actively managed against budgeted time or budgeted costs

 

Go to Project Assignments

  • To schedule the work based on employees' existing workload

  • To determine if you have the resources to take on the project

  • To find out the likely end date for the project based on the resources available

  • To run 'what-if' scenarios while planning the project to determine the most profitable schedule

  • To estimate how much the project will cost

  • To track the project's progress against its schedule and budget
